Abstract
Mr. Hugh McCauley, the COO of Riordan Manufacturing, Inc. has submitted a service request SR-rm-004. This request is to analyze the current Human Resources system and to integrate the existing variety of tools used today into a single integrated application at all plant locations. Mr. McCauley would like to take advantage of a more sophisticated, state-of-the-art, information technology system for the Human Resources department. After all the information is obtained, analysts will review, analyze and structure the information obtained so they can develop an overall understanding of the new system’s requirements. To define the new system requirements; drawing diagrams, workflow diagrams and activity diagrams will be used to express and model the new system’s processing requirements. Last, the IT team selects and recommends an alternative to Riordan Manufacturing. The recommendation recaps the results of the analysis phase activities, and together the team makes firm decisions about an alternative.
Scope of the Project
The scope of this project is to integrate the existing variety of tools currently implemented at Riordan Manufacturing into a single integrated application. As the Corporate office in San Jose currently has a license for a fully integrated Windows based Enterprise Resource Planning (ERP) distribution, manufacturing and financial management software application particularly designed for plastics processors and also process and assembly manufacturers. There are several stakeholders at Riordan Manufacturing to gather requirements from to provide a clear picture of the final project. The first stakeholder to gain input would come from the Chief Operations Officer, he was the requestor of the system upgrade, is responsible for the budget, which includes payroll. The Chief Legal Officer oversees the legal aspects of the human resources programs. The individual human resources managers within the individual facilities are the stakeholders who recruit and handle benefits for employees. Each facility has an accountant that oversees payroll and bonuses as well as the payroll specialist (Apollo, 2011).
The design method that would be used for Riordan Manufacturing would involve the use of Joint Application Development (JAD). Participants in this methodology would include users, managers, sponsors, programmers, and systems analysts. By involving everyone in the program, we can obtain the most vital information on what is needed to improve the current process for Riordan.
Riordan Manufacturing has decided to make a change to company’s customer management system. The company does not currently have any formal system for managing its customer information and has traditionally left this up to individual employees. This new system will require all employees to use one customer management system. Your team is now working to help Riordan implement this planned change. Riordan manufacturing is a very large company with facilities in many locations around the World. With any company with this size Riordan must have a system in place that is able to keep track of significant amounts of information. Such as Employee names, time sheets and a variety of other important information. This system should be able to have a central location so that stores all of this information and can be accessed not only by the corporate office but at each location as well. There are many functions that a new and improved system should provide. Such as inventory control, tracking of shipments into and out of the warehouses, and the receiving of such items to our costumers. These requirements are essential to the growth of Riordan Manufacturing.
Riordan Manufacturing is a company looking to upgrade their HR System. Their HR System is out of date and needs to improve its usefulness and effectiveness. Based on the Service Request SR-rm-004, this paper will prepare and describe information-gathering techniques and design methods for the Riordan Manufacturing HR System project. This paper will also identify key factors that will help ensure information for the project is gathered. The paper will also explain the scope and feasibility of the project. Finally, this paper will design and implement a new HR system for Riordan Manufacturing.
This way the IT department can understand what the higher level and lower level employees need for system stability and a better graphical interface. Another plan of action would include the method of Systems Development Life Cycle or SDLC. The phases of this method are planning, analysis, system design, implementation and operation. First we must plan on what exactly we are trying to accomplish. We know we need to upgrade the Riordan Manufacturing system. Next we must analyze the system and look for problematic errors. A project proposal can be essential to launching a system analysis (Farah, 2013). These are things to keep in mind: understand the business situation or problem, understand the significance to the problem in the organization, think of alternate solutions, the use of computer information systems for solutions, find people interested in the solving the problem (Farah, 2013). This plan is used to decrease redundancies, errors, and increase security. Finding all the weak spots in the company will help in the improvement of integrating an updated efficiently functioning system. Feasibility is important to account for when upgrading the system. The new Human Resources Information System (HRIS) architecture will be congruent with the existing Information Technology (IT) infrastructure. Technical support will be directed and implemented from the San Jose office. Our proposal recommends a three phase approach to implementation. In the First Phase (1P), HRIS baseline requirements and increased Human Resource utility will be launched at the Riordan Corporate office in singular virtual network. Phase Two (P2) implements the HRIS baseline requirements throughout the United States. Phase Three (P3) implements the HRIS throughout the enterprise worldwide.
Riordan manufacturing has requested an upgrade to their current human resources system. They currently have several disparate tools that are patched together in order to complete HR functions. Many Excel spreadsheets are used by different parts of HR, and combining all resources into one system can provide many time saving advantages and a more reliable system over all. The implementation portion of the Riordan project could in fact, prove to be one of the most challenging parts. However, this could be the part that is worth all of the effort. There will have to be a team of experienced developers in various different Information Technology fields to see the implementation portion stage through to completion; this cannot be known as a “one-man show.” Several of the departments within the Riordan organization will have to be given priorities when it comes to implementing the new human resource management system. The next step to gather information will be trough the interviewing of the key stakeholders and end users inside Riordan Manufacturing. Based on Kendall & Kendall (2012) an information-gathering interview is a directed conversation with a specific purpose that uses a question-and-answer format. For this the analyst will need to prepare beforehand a series of question that will as specific as possible. Being ambiguous could result in a lost of time and money for the company. Preparing also will depending on the amount of time provided for the creation of the system application. Depending on this time, the interviews will be prioritized based on which stakeholder could provide the best data for the project. If enough time is given, then all stakeholders should be interviewed accordingly.
