Week 3 Discussion - Internal Controls Hello Professor and classmates, Organizations require control functions to ensure productivity and objectivity. “ Control involves establishing frameworks and structures that evaluate performance and ensure the realization of strategic goals” (Strydom, 2015). Controlling operations in physical organizations and online businesses differ. Online businesses have higher autonomy levels than physical motor and brick stores. Six Principles The first principle is establishing responsibility to ensure stakeholders understand their roles and responsibilities. Establishing responsibility reduces redundancies and interpersonal conflicts arising from having ambiguous roles and expectations. This principle fosters accountability, allowing managers to track individual employees’ contributions. “ The second principle is the collection of duties to ensure a chain of command” (Hopkins et al., 2020). Establishing a clear chain of command promotes structured and objective interaction among employees. Ideal organizations must have an elaborate organogram that defines authorization levels. Collective responsibilities also promote synergy among members and facilitate performance evaluation practices. The third principle is documentation, involving recording every action to facilitate decision- making, risk management and performance improvement. Documentation facilitates future referrals and prevents organizations from undertaking similar challenges. The fourth principle is establishing physical control by ensuring internal balances and efficiencies. Documentation also incorporates instructions, procedures, information systems, and protocols set for future evidence . Organizations establish audit units to verify information” (Tolstoy, 2021). Human resources also help with documentation through conducting training needs assessment, performance appraisals and disciplinary actions” (Hopkins et al., 2020). The fifth principle is internal verification to ensure stakeholders follow established protocols and processes. Internal verification can include conducting performance appraisals and auditing to ensure employees comply with internal policies. Managers adopt approaches like management by objective, balanced scorecards, and 360-degree feedback to verify compliance with established regulations. The last principle is control of human resources, ensuring employees have the required competencies. Organizations conduct background checks and training needs assessments to ensure employees have the required credentials and can conduct their responsibilities efficiently.
Important Principles for Online Business and Brick-and-motor Business An important principle for online business is the collection of duties and documentation. Collection of duty is essential in online business because it clarifies the chain of command and communication structure to engage internal and external stakeholders. Employees working for online businesses have higher autonomy as most operations are automated. “ Online businesses engage international clients, increasing the span of control” (Dagasan et al., 2023). The collection of duty principle ensures accountability and consistency as employees know whom to consult when they experience operational conflicts. Documentation is important for an online business to facilitate informed decision-making and track employees' activities. Online businesses should invest in data analytics and predictive algorithm systems to automatically record information and help management ensure accurate and consistent decision-making. The essential control principle for brick-and-mortar is controlling human resources and establishing physical controls. Controlling human resources is vital in physical stores because it ensures employees understand their mandates. Most online retail store practices are automated. However, physical stores require people with ideal hard and soft skills to ensure operational efficiency. For instance, the physical store requires competent customer relations experts to engage clients visiting the stores to purchase goods or window shops. “Hiring a competent workforce with relevant credentials improves work quality” (Tolstoy et al., 2021). Establishing physical control is essential for physical retail stores because it enables organizations to monitor inventory levels, operational efficiency, and growth. Continuous monitoring facilitates swift intervention in case of operation deviation. Control also ensures compliance with established protocols and regulations. In conclusion, Organizations must ensure all stakeholders understand their roles and expectations to reduce redundancies. Six control principles ensure organizations create a clear structure that aligns with relevant regulations to achieve operational efficiency.
